1. Introduction
Every participant has the right to request a complete copy of all data the Division has about them, redacted only to protect the confidentiality of others.
2. Requests for Data Procedure
- A participant may request a complete copy of their data, redacted only to protect the confidentiality of others, at any time from the Program and Student Affairs Coordinator by telephone, text message (in the case of DeafBlind participants), email, or by submitting a request through the Division’s website.
- When a request for data is received, the Program and Student Affairs Coordinator or their designate will make all reasonable attempts to verify the request was made by the participant and, if they are satisfied that the request did indeed come from the participant will redact the data as appropriate to protect the confidentiality of others and deliver it to the participant within 5 business days in the manner best suited to the participant.
- All reasonable efforts will be made to ensure data is delivered in a manner accessible to the participant but, should the participant have trouble accessing the data, the Program or Student Affairs Coordinator or their designate will go over the data with the participant if the participant so desires.
3. Review
This procedure will be reviewed at least annually and updated as needed.
